AI agent or workflow automation: how to choose

Start with the kind of work the system must do. Use fixed rules when the path is known. Consider AI when a step needs to interpret language or other variable inputs. Combine them when a workflow needs both predictable execution and a bounded judgment step.

Use workflow automation when the rules are clear

A workflow is a good fit when the trigger, conditions, and actions can be written down. For example: when an approved order arrives, check required fields, update the inventory system, and notify the assigned team. The same input should follow the same defined path.

Design the exception path too. Missing data, rejected approvals, and unavailable systems should lead to a visible retry, review, or handoff—not a silent failure.

Use AI for a bounded interpretation step

AI may help when an input is unstructured or its meaning varies: summarizing a customer message, classifying a request, or extracting fields from a document. Keep the AI task narrow and validate its output before another system acts on it.

If the result can change access, money, legal terms, or another consequential state, define when a person must review it. Do not make the model responsible for actions outside the approved boundary.

Combine them when judgment is one step in a larger process

A common design is a deterministic workflow that receives and validates an event, asks an AI agent to interpret one part, checks the returned result, then routes the next action. The workflow owns sequence and recovery; the agent contributes only the bounded interpretation it was assigned.

A quick decision checklist

  • Can the trigger, rules, and expected output be defined precisely? Start with a workflow.
  • Does one step need to interpret text, documents, or other variable input? Consider a constrained AI step.
  • Can a wrong result cause material harm? Add validation, an approval point, and a safe fallback.
  • Can the team see what happened and recover from a partial failure? If not, define logging and recovery before launch.

Plan the system around the work

Write down the process, systems involved, decisions, and exceptions before choosing a tool. OQVIAN can help assess the fit across AI systems and workflow automation.
